Caltex Card Program – FAQ

 

 

 

 

Why should my organisation want to join the Simple Fleet Fuel Card program?

The Simple Fleet Caltex fuel cards are a great way to combine your organisations fuel bills whilst saving you time and money.  By combining the purchasing power of numerous clients, Simple Fleet can provide your organisation with additional fuel discounts that on your own your organisation may not be able to access.

What fuel discounts can my organisation receive?
The level of fuel discount depends on which billing cycle suits you:
1)        3.5c/Litre discount (GST incl) – this discount can be obtained by electing a weekly billing cycle
2)        2.5c/Litre discount (GST incl) – this discount can be obtained by electing a monthly billing cycle
The discount applies equally across both unleaded, E10 and Diesel / Bio Diesel fuel.
Our organisation already uses a Caltex Fuel Card, will we need to reissue cards if we wish to join the Simple Fleet card program to receive the bigger discount?
Your organisation can still join the Simple Fleet fuel card program if you already have an account with Caltex.
In a majority of cases your cards will not need to be re-issued, however your organisation will need to pay for your fuel via the direct debit system on either the weekly or monthly billing cycle.  Your fuel cards will then be credited with the appropriate fuel discount.
Where can I use the cards?
The card is able to be used at any of the 1800 Caltex / Ampol service stations (including Caltex Woolworths).   Click Here to find service stations in your area.
Can I use Caltex Woolworths cobranded petrol stations?
Yes. The cards can be used at the Woolworths branded Caltex petrol stations.
Can I get any additional Woolworths discounts?
No, the discount structure has already been established on your behalf without the need to make purchases at Woolworths / Safeway or BigW, therefore additional discounts are not available.
What is the difference between the Star Card and the StarFleet Card?
The Star Card is a fuel only card and can not be used to pay for any servicing, repairs, tyres etc.
The StarFleet Card (which is also an integral part of our fleet management system) can be used to pay for servicing and maintenance costs as well as fuel purchases.
The cards are accepted by the car manufacturer dealer networks and can also be used at many other maintenance providers including Bob Jane, O’Brien Glass, Kmart Tyre and Auto and many others.
Can the cards be used to purchase food / cigarettes etc from the shop at the petrol station?
No.  The cards can be blocked to only allow fuel, oil and maintenance costs.
How am I invoiced for my purchases?
In accordance with the terms and conditions of the Star Card account, a direct debit facility is established when credit is approved.
Caltex will bill you in accordance with the billing cycle attached to your chosen level of fuel discounts (i.e. 3.5c / litre or 2.5c / litre).  You will receive a statement for each billing cycle which includes a break down of the card usage and outlining the date the direct debit will take place.
What happens if I wish to dispute something on my cards or I lose my card?
If a card is lost or stolen it should be cancelled as soon as possible either online or by contacting the Star Card hotline on 1300 365 096.
You can also speak to Caltex on this number if you wish to dispute a transaction appearing on your invoice.
Can I obtain online access to my Star Card account?
Yes, as part of the application process Simple Fleet Solutions will provide you with the necessary forms to complete to allow you online access to your account where you can download reports including usage, recent bills, odometer readings etc.
Can I order new and replacement cards myself?
Yes. Once you have online access to your account you can carry out a large number of operations including ordering new and replacement cards.
Can I cancel my cards?
Individual cards can be cancelled online at any time.
A complete cancellation of your account would need to be made in writing to Simple Fleet Solutions so that we can organise the cancellation of your account with Caltex.
How do I apply?
The application process starts with the Caltex Corporate Credit Application. If your organisation already has a Caltex account you will not need to do another one.
You will need to print the form, fill out every section on every page and return them to Simple Fleet Solutions. We will then submit your credit application to Caltex and guide you through the remainder of the process.
How long before I get my cards?
The credit approvals process usually takes around 2 weeks.
From the time credit is approved, the first bulk card issue usually takes between 3-5 working days.
Expect the whole process to take up to around 3 weeks, but it can take less time depending on how quickly Caltex process the Credit Application.
What does undergoing a credit check mean?
When you use the Caltex cards your organisation will not pay for the purchasing immediately and the fuel goes onto your ‘account’.  As a result of this Caltex undertakes a credit review of your organisation to make sure you have the ability to pay for your purchases as and when Caltex issues you with your invoice.
What are common daily credit limits on the cards?
Individual credit limits can be set by your organisation if you require special credit limit amounts.  To assist you to choose your daily credit limits, Simple Fleet Solutions has observed the following credit limits as commonly used by organisations in the non profit sector:
1)        For Star Cards (fuel only) the common daily limit is $150 per card / day.
2)         For StarFleet Cards the common daily dollar limit is $1,000 per card / day.  This typically allows enough credit to pay for a service and / or maintenance costs. If a service or maintenance bill is going to be particularly large the service / maintenance provider can obtain separate one off approval from Caltex.
What are common monthly credit limits on the cards?
Individual credit limits can be set by your organisation if you require special credit limit amounts.  To assist you to choose your monthly credit limits, Simple Fleet Solutions has observed the following credit limits as commonly used by organisations in the non profit sector:
1)        For Star Cards (fuel only) the common monthly dollar limit is $700 per card.
2)        For StarFleet Cards the common monthly dollar limit is $2,500 per card
